FileNet Increases Security on Corporate Information
Enterprise Content Management (ECM) is becoming more and more inevitable to companies today. For the oil and gas companies, to better access and optimise plant data, a single integrated solution is a must.
This solution takes its form in ECM.
Now, with the Middle East e-government plans and directions; and with energy companies taking a great deal on how to manage the lifecycle of their information, a greater need to control data is emphasised.
These institutions require even more complete and reliable ECM functionalities, which are able to connect to web processes to be able to deliver better and faster services to citizens and enterprises.
“Recent scandals that occurred in the international corporate arena- Enron, World Com, Parmalat... have raised the issue of governance as well as corporate compliance, says Graziella Rossi, Marketing Director, South Europe, Middle East & Africa in an exclusive interview with Pipeline.
“Too often, we forget that the records and information we use to do our jobs are assets of our businesses and – as a valuable resource – should be safe guarded. Legislations and existing industry regulations, in addition to company’s internal procedures, have highlighted the need to have more effective control of corporate information and the ability to evidence that control of regulatory compliance influencing business today.”
“With the Filenet P8 ECM, the contents are stored securely in a single repository, based on object logic and highly scalable, making it possible to link other external electronic archives.”
Email Management Solutions released
The number of e-mails sent globally is set to grow from an estimated 10 billion in 2000 to 35 billion daily in 2005, predicted International Data Corporation (IDC), the premier global market intelligence and advisory firm for the IT and telecommunications industries. To manage these vital data and to allow companies to become and remain “easily compliant” with any regulation, the company has recently added Email Manager and Records Manager to its FileNet P8 architecture.
“FileNet Records Manager is capable, primarily of acquiring, classifying and tracking records throughout their lifecycles, irrespective of format,” explained Rossi. “These records may be presented in HTML, WebPage, Word, Pdf, or Excel formats, with attached paper document images and on-line forms, audio and video recordings or e-mail messages with their attachments.”
“It has already obtained the stringent certificate of compliance with the US Department of Defence Standard Dod 5015.2-STD, which defines the basic requirements of records management systems and is recognise as a guide in both the public and private sectors.
“FileNet Email Manager, on the other hand, is designed specifically to acquire and manage e-mails according to prefixed and parameter sable rules. These include the possibility of classifying e-mails automatically into specific record categories within FileNet Records Manager,” she added. This Email solution is a server-based management solution that integrates with popular email systems like Microsoft Exchange and Lotus Notes mail servers and desktop applications such as Microsoft Office.
It allows organisations to easily capture, organise, monitor, retrieve, retain and share email content while ensuring adherence to new regulatory compliance requirements. The two new released solutions integrate well with each other, allowing enterprises to control records management requirements for expanding amounts of e-mail content and helps establish a comprehensive records management and compliance platform.
